Compare
AI BDC vs in-house BDC vs outsourced BDC
Short answer: an AI BDC covers every hour, an in-house BDC brings the most judgment, and most stores do best with a mix. Here is how the three ways to staff a dealership BDC compare on cost drivers, hours covered, reply speed, languages and hand-off, and why many stores end up combining them.
The short answer
An in-house BDC gives you the most judgment and control, but only during staffed hours, and it costs salaries, training and turnover. An outsourced BDC can cover longer hours without hiring, but its agents know your store less well. An AI BDC (an AI agent that answers and follows up) replies at any hour and can work in several languages, but it must hand anything needing judgment, such as price negotiation or finance, to a person.
For most stores the practical answer is a mix: let AI handle the first reply, qualifying questions, reminders and after-hours leads, and keep people for the conversations where a human adds value. Whatever you choose, test the hand-off between AI and people: that is where customers get lost.

| Question | In-house BDC | Outsourced BDC | AI BDC (AI agent) |
|---|---|---|---|
| Who answers | Your employees | A contracted team, often shared across several dealers | Software that writes replies, within rules your team sets |
| Hours covered | The hours you staff; nights and weekends need extra shifts | Whatever the contract covers, often extended hours | Around the clock for incoming messages |
| First-reply speed | Depends on staffing and how busy the team is | Depends on the contract and queue | Seconds, when the AI is switched on for that channel |
| Languages | The languages your people speak | Depends on the provider's staff | Several, depending on the product (QualiFlow: English, Spanish and French) |
| Phone calls | Yes | Usually | Varies by product; with QualiFlow, where calls are switched on |
| Judgment and exceptions | Highest: people can negotiate and decide | Limited to what you authorize | Low: should hand off pricing, finance and complaints to a person |
| Knowledge of your store | Deep | Only what you share with them | Only what is in its records: inventory, hours, approved knowledge |
| Consistency | Varies by person and shift | Varies by agent | Same questions and rules every time |
| Hand-off to sales | Walk over to the desk | Notes in your CRM, a transfer or an email | The weak point to test: does a named person get the conversation with context? |
| What you can measure | What your CRM and phone system record | What the provider reports | Every conversation is logged; check the reports show denominators |
Typical patterns, not guarantees; individual providers vary.
Cost drivers
What drives the cost of each option
We don't publish price comparisons, because costs vary too much by market and contract. These are the line items to compare.
In-house BDC
- Pay, commission and benefits for each rep
- Hiring and training, again with every departure
- A manager's time to coach and schedule
- Extra shifts for nights and weekends
- Phones, CRM seats and desks
Outsourced BDC
- The pricing model: per lead, per appointment set or per month
- Minimum terms and how volume changes are billed
- Extra charges for hours, languages or calls
- Your team's time to brief them on inventory and policies
AI BDC
- The subscription and any usage charges (messages, calls, AI)
- Texting registration and phone numbers
- Your team's time to set rules, approve and review
- The people you still need for hand-offs
When each fits
Which option fits which store
-
In-house fits when…
- you have the volume to keep a team busy all day
- your leads need a lot of judgment, such as high-end or special-order sales
- you can staff the hours your customers write in
-
Outsourced fits when…
- you need longer hours without hiring
- call volume is high and mostly routine
- you are comfortable sharing your process and inventory with a partner
-
AI fits when…
- many leads arrive after hours or on weekends
- your team spends its day on first replies and reminders
- you serve customers who prefer Spanish or French
- you will keep a person on the hand-off
Honest trade-offs
When QualiFlow is not the right choice
QualiFlow AI is an AI agent for US dealerships. It is probably not your best option if:
- You want every conversation handled by a person, with no AI involved.
- Most of your leads need negotiation on the first reply. Aria never negotiates prices, discounts or finance; it passes them to your team.
- You need a ready-made two-way sync with your CRM or DMS today. QualiFlow brings contacts and inventory in by CSV.
- You want published customer results, reviews or a security certification such as SOC 2 before you buy. QualiFlow has none yet.
- You sell outside the United States, or need customer languages beyond English, Spanish and French.

FAQ
Questions about AI and human BDCs
What is an AI BDC?
An AI BDC is software, usually an AI agent, that does the first-response work of a business development center: it replies to new leads, asks qualifying questions, books appointments and sends reminders, then hands the customer to a person. It works alongside staff rather than replacing the judgment calls.
Can an AI BDC replace my whole BDC team?
Not entirely. AI handles routine first replies, questions and reminders well, at any hour. People are still needed for negotiation, finance, complaints and anything outside your rules, and for the hand-off itself. Most stores use AI to free their team for those conversations.
Is an AI BDC cheaper than an in-house BDC?
It depends on your volume, hours and contract. An AI agent removes the cost of covering nights and weekends with people, but you still pay for the software, texting and phone numbers, and your team's time to set rules and take hand-offs. Compare the cost drivers above with your own numbers.
What happens when an AI agent can't answer?
A good agent tells the customer plainly that a person will follow up, and passes the conversation to a named staff member with what it has learned. Test this before you buy: in 2026 mystery shops, about one in three AI-to-human phone transfers failed.
Does an AI BDC work after hours?
Yes. Answering leads at night and on weekends is one of the main reasons dealers use one. In a 2018 mystery shop, only 36% of dealers responded to leads submitted after hours.
