Unified Inbox & Calls: Every conversation, every channel, one inbox.

Texts, phone calls, Facebook, Instagram and WhatsApp messages, emails and website chats come together in one history per customer. Your team sees exactly what Aria said and takes over with one click.

  • One history per customer
  • One-click takeover
  • Honest delivery status

Example of the QualiFlow Inbox for Riverton Motors: conversations from text, Facebook Messenger, a phone call and email in one list, each marked Aria handling, Waiting for a person or Handled by staff. A payment question waits for the sales manager, who takes it over.

The problem at your store

Customer conversations scattered across five screens

Conversations live in a CRM email inbox, on reps’ personal cell phones, on the Facebook page and in the phone system. Managers can’t see who answered, customers repeat themselves, and the AI and a rep can end up replying at the same time.

  • Every channel on a different screen

Texts on a rep’s phone, Facebook messages on the page, emails in a shared inbox and calls in the phone system.

  • Nobody can see who answered

Managers can’t tell whether a shopper heard back, and customers repeat themselves to every new person.

  • Two replies to one question

Without clear ownership, the AI and a rep can end up answering the same customer at the same time.

Capabilities

One place to see, answer and own every conversation

Your BDC, salespeople and managers work from the same history Aria sees, so the customer never has to start over.

  • One history per customer

Conversations linked to the same customer share one history. Calls show inside the customer’s chat as call cards, next to their texts, and Aria leaves internal team notes at key moments such as a hand-off or a booking.

  • Instant takeover

Take over any conversation with one click. Aria stops immediately, including replies it had prepared but not yet sent. Reply with SMS templates, tags or Ask Aria to write.

  • Clear ownership

Every conversation shows its state: Aria handling, waiting for a person, or handled by staff. Unassigned Messenger, Instagram and WhatsApp leads wait in a social lead pool until someone takes one, and an Owner can make a salesperson’s own number or mailbox private to them.

  • A Calls area and Dialer

Each call shows in the chat as a card. An Owner decides what calls keep: a summary (the default), a full transcript, and optionally the recording. Start a call from a contact: QualiFlow rings your phone, then the customer, from the dealership number.

  • No noise in the sales inbox

Intake keeps greetings, spam and vendor emails out of the sales inbox, and staff can correct any classification.

  • Honest delivery status

Sent, delivered, failed and unknown are shown separately. There are no fake green checkmarks.

  • The right channel, every time. A reply goes out on the channel and identity you chose, never through another.

  • Aria never negotiates. While a customer waits for a person, Aria can acknowledge and share verified facts.

  • Handoffs reach a person. Browser notifications on desktop and mobile flag handoffs and approvals, and when Aria runs a conversation, a customer left waiting about 3 minutes gets a reply.

How it works

Every message lands in one place

From the first text to the last call, each conversation has one history and one owner at a time.

  1. Every channel arrives

Texts, calls, Facebook, Instagram and WhatsApp messages, emails and website chats all come into the Inbox.

  2. Intake sorts it first

Opt-outs, spam and vendor emails are handled before anything reaches sales, and each message joins the right customer.

  3. Aria answers or asks for a person

Aria handles routine questions and flags anything that needs a manager as waiting for a person.

  4. Your team takes over

One click and Aria goes quiet for that conversation until someone hands it back.

A payment question, mid-deal

Picture a customer working a deal at Riverton Motors, a fictional dealership, who texts a question that only a manager should answer.

  1. 4:12 PM

Riley texts: with $3,000 down, can the payment get under $450?

  2. 4:12 PM

Aria recognizes the question needs a manager, tells Riley a manager will follow up and marks the conversation waiting for a person.

  3. 4:19 PM

Dana, the sales manager, opens the thread, sees the full history, takes over and answers.

  4. Until Dana hands it back

Aria stays quiet in this conversation. Nobody double-replies.

Example conversation: Riley asks by text whether the payment can get under $450 with $3,000 down. Aria replies that payment figures come from the sales managers and that one will follow up. The conversation is marked waiting for a person. Dana, the sales manager, takes over and replies that she will work up options and call in ten minutes. Aria is paused for this conversation.

What you can measure

Know who answered, and when

Every conversation has an owner and a state, so managers can see what’s waiting and what got handled, at every location.

  • Conversations by state: Aria handling, waiting for a person, handled by staff
  • AI-only, staff-only and mixed handling, shown separately
  • Delivery status: sent, delivered, failed and unknown
  • First reply time by channel and location

The report shows demo data for a fictional store. Your numbers come from your own conversations once channels are switched on.

Demo data example of an Inbox report: 24 conversations Aria is handling, 3 waiting for a person, 17 handled by staff; today’s conversations split 55% AI only, 30% mixed and 15% staff only; and outbound message delivery status.

Which channels come into the Inbox?

Supported channels are text (SMS), phone calls, Facebook Messenger, Instagram, WhatsApp, email and website chat. Channel availability depends on your setup. Email connects through your dealership’s own Google, Microsoft or business mailbox, or your verified email domain.

What happens when someone takes over?

Aria stops for that conversation immediately, including replies it had prepared but not yet sent. Aria stays quiet until someone hands the conversation back.

How do phone calls fit in?

Calls show inside the customer’s Inbox chat as call cards: answered by Aria, voicemail or outgoing. An Owner chooses whether calls keep a summary (the default), a full transcript and the recording, and the full detail lives in the Calls area. Staff can start a call from a contact: QualiFlow rings their phone, then the customer, from the dealership number. If Aria’s call line ever fails, the call forwards to your store line while you’re open.

Will spam and vendor emails clutter the inbox?

No. Intake screens every message first and keeps greetings, spam, vendor emails and job applications out of the sales inbox. Staff can correct any classification.

Can Aria and a rep reply to the same customer at once?

No. Every conversation shows who owns it right now, and a takeover stops Aria before it sends anything else, so the customer gets one reply, not two.
