Limits, the 80% warning and what happens at 100%

Each plan has monthly allowances (credits, minutes, SMS, campaign emails) and fixed limits (contacts, seats, agents and more). Owners are warned at 80%. When credits run out Aria stops and hands every chat to your team.

What it is

Your plan has two kinds of limits:

  • Monthly allowances that are used up and reset every month: AI credits, call minutes, SMS and campaign emails.
  • Fixed limits on how many you can have: contacts, team seats, AI agents, phone numbers, locations, email domains, knowledge base size and storage.

Some features are not on every plan. Their tab stays visible with a light preview and a card such as "Available on Ultra Flow" with Upgrade.

How to use it

  1. Watch the Usage box in the sidebar, or Settings → Billing.
  2. At 80% of a monthly allowance, Owners get a bell notice and an email, once for each allowance each month.
  3. Before you run out, an Owner buys an add-on pack, turns on auto top-up for credits, or upgrades.
  4. If a fixed limit is reached, add the extra (seats, phone numbers and storage can be added) or upgrade.
  5. To use a locked feature, select Upgrade on its card.

What the data means

At 100% of AI credits: Aria stops replying and every conversation goes to your team to answer. The autopilot switch says "Credits ran out — upgrade or add credits". Owners get a bell notice and an email. As soon as credits are added or the plan is upgraded, Aria starts again within a few seconds.

At 100% of call minutes, SMS or campaign emails: Owners get a notice ("You have used all your call minutes this month."). Add a pack or upgrade to get more.

Fixed limits: adding one more is refused with, for example, "You have reached your plan's limit of 3 team seats. Upgrade or add more in Settings > Billing." Nothing you already have is removed.

Locked features: saving or sending in a locked tab is refused with, for example, "Outbound calls by Aria is available on Ultra Flow. Upgrade to use it." You can still look at the screen.

Possible issues and fixes

Every chat is going to my team

Symptom: Aria doesn't reply and the Inbox fills with conversations waiting for staff.

Why: AI credits ran out for this month, including add-on packs.

Fix: An Owner buys credits or upgrades in Settings → Billing. Answer the waiting conversations in the Inbox meanwhile.

How to check: The autopilot switch no longer says credits ran out and Aria answers the next message.

I can't invite another team member

Symptom: Inviting someone says you have reached your plan's limit of team seats.

Why: Every seat on your plan is in use. Invitations count too.

Fix: Add an Extra team seat ($20 a month) in Settings → Billing, remove someone who no longer needs access, or upgrade.

How to check: The invitation is sent.
