What it is
Contacts can be downloaded as a CSV file, the file type every spreadsheet app opens. There are two ways:
- Export CSV downloads everyone who matches your current search and Source filter, across every page, up to 5,000 contacts.
- Export selected downloads exactly the contacts you ticked, up to 100.
Only Owners can export. Exporting never gives permission to contact anyone.
How to use it
- Open Contacts. Use Search contacts… and Source to narrow the contacts you want, and select Search.
- Select Export CSV. The card Export all matching contacts repeats your search and source.
- Select Download matching contacts. The file is called qualiflow-contacts.csv. Close export closes the card.
- For a hand-picked set, tick up to 100 contacts, select Export selected, then Download selected CSV.
- Open the file in your spreadsheet app.
What the data means
The file has the display name, email, phone and phone format, source note and source, verification status, a permission summary, a restriction summary and any unresolved restriction evidence, language and how it is known, extra channels, and the postal address. Notes, inquiries, tags and lists are not included.
Export CSV applies only the search and the Source filter. It is hidden in Trash, and while a list, tag, smart list or lead score filter is on the page says: "Export CSV can't apply a list, tag, smart list or lead score filter, so it is off while one is on."
Export selected reports "N selected contacts exported. This did not export every filter match."
Possible issues and fixes
Export CSV is missing
Symptom: There is no Export CSV button in the Contacts header.
Why: A list, tag, smart list or lead score filter is on, you are in Trash, or you are signed in as Staff. Only Owners can export.
Fix: Select Clear filter or All Contacts to bring the button back, or tick up to 100 contacts and choose Export selected.
How to check: Export CSV shows next to Import.
"Too many Contacts match this export"
Symptom: The download is refused with "Too many Contacts match this export. Narrow the search or source filter."
Why: More than 5,000 contacts match. QualiFlow refuses rather than cutting the file short.
Fix: Narrow the list with the search box or Source and export in parts.
How to check: A CSV file downloads.
Export selected made no file
Symptom: Download selected CSV shows an error and no file downloads.
Why: A contact you ticked changed after you ticked it. QualiFlow won't make a smaller file than you asked for.
Fix: Select Clear selection, tick the contacts again and export again.
How to check: The file downloads and the result reads "N selected contacts exported."
Phone numbers in the file start with an apostrophe
Symptom: Some cells, often international phone numbers, start with '.
Why: A spreadsheet can run a cell that starts with +, -, = or @ as a formula. To keep your file safe, QualiFlow puts an apostrophe in front of such cells.
Fix: Leave it if you only read the file. To import the file again, delete the apostrophes first, or those rows say "Not imported: this row needs a fix".
