What it is
Open a form in Forms & QR and select Analytics. For the period you choose (the last 7, 30 or 90 days, or Custom dates) it shows:
- Views, Submissions and Conversion (submissions out of views), and New leads (responses that created a new contact; the hint says how many matched a contact you already had).
- Views and submissions over time, one pair of bars per day.
- Where responses come from: QR code, Website embed or Link, each with views, submissions and conversion.
- Answers, question by question, like Google Forms: a bar per option with its count and percentage for choice questions, the average, middle, lowest and highest value for number questions, and the latest answers (with Show all) and the most common answers for text questions. Names, emails and phone numbers are only counted here.
- Responses table: every response with the date, the source, the contact (select the name to open the contact) and every answer.
- Export to Excel: a real Excel file (.xlsx) of every response in the period.
The Forms & QR list also shows Responses, last 30 days at the top and "N in 30 days" on each form.
How to use it
- Open Forms & QR and select a form.
- Select the Analytics tab.
- Choose the period at the top. For Custom dates, pick the first and last day.
- Read the numbers, then scroll to the answers and the responses table.
- To download, select Export to Excel. The file opens in Excel, Numbers or Google Sheets.
Who can export
- Owners always can.
- Staff need access to Forms & QR and Contacts, and the Export data switch (Settings → Team & roles). Without them the button is not shown and the server refuses the download.
- Every export is recorded in the workspace's audit log.
What the data means
- Only real customer responses count; test responses never do. A view is an open of the form's link, QR code or embed, counted once per day and medium. Days are whole days in UTC.
- A response is a QR code response when it came from the form's QR code (its tracked link has medium "qr"), Website embed when the form is on your website, and Link otherwise.
- Percentages for a choice question are out of the people who answered that question; when people can pick several options they can add up to more than 100%. An option you removed later keeps its own row, so old answers are never lost.
- The summary and the export cover the newest 5,000 responses in the period; choose a shorter period for older ones.
Possible issues and fixes
Conversion says "No views yet"
Symptom: Submissions show, but conversion says No views yet.
Why: No opens of the link, QR code or embed were counted in the period (for example, the responses came before views were counted).
Fix: Choose a longer period, or share the form's link or QR code from Link, QR & embed.
How to check: Views is above zero and conversion shows a percentage.
I don't see Export to Excel
Symptom: The Analytics tab has no export button.
Why: Exporting needs Contacts access and the Export data switch.
Fix: Ask your Owner to turn them on in Settings → Team & roles.
How to check: The Export to Excel button appears at the top right of the tab.
A response shows "Not linked"
Symptom: The responses table says Not linked instead of a contact.
Why: The response has not reached Intake yet, it was a job application, or you don't have access to Contacts.
Fix: Open the Responses tab to see where the response went in Intake.
How to check: After Intake creates or matches the contact, the name appears in the table.
