When a journey sends by itself, and when your team is asked

Journeys send each step by themselves. Nothing needs approving. A step comes to your team as a My Work task only when it can't be sent safely, for example with no permission, no channel, or Aria's live replies off.

What it is

Journeys send by themselves. There are no journey drafts to approve and no approval step in Journeys. Each step picks its channel when it is sent, checks permission, quiet hours and contact limits, and goes out.

Your team is asked only when a step can't go out safely:

  • Follow up yourself: no permission is on file, no channel can reach the customer, or a setting has been wrong for about a day. The step becomes a My Work task beginning "Follow up yourself:" with the reason in plain words.
  • Follow-up ready to send: while Aria's live replies are Off (staff replies), each step becomes a My Work task "journey name: follow-up ready to send" with the suggested message. Nothing has been sent to the customer.

How to use it

  1. Keep Aria's live replies on Autopilot (the Aria switch in the Inbox header) so journeys send by themselves.
  2. Open My Work and look for journey tasks.
  3. For a "follow-up ready to send" task, read the suggested message and send it yourself in the customer's conversation.
  4. For a "Follow up yourself" task, fix what it names (permission, phone or email, a connection), then contact the customer if it still matters.
  5. Mark the task done, or dismiss it if it no longer applies.
  6. To see where each customer is, open Journeys, select the journey's card and read Activity.

What the data means

What the data means
You seeMeaning
Follow-up ready to sendA task holds the message for your team. QualiFlow has not contacted the customer
Follow up yourselfThe step could not go out; the task says why
Done by staffA team member marked the task done
Draft withdrawnThe task was not used in time, so the message is never sent late

A "follow-up ready to send" task says "Use before" a time. It is withdrawn at the earliest of 48 hours after it was due, the step's own deadline, or the next step's due time. It goes to the salesperson, else the conversation owner, else an Owner.

Possible issues and fixes

Journeys only make tasks and never send

Symptom: Every journey step becomes a My Work task instead of a message.

Why: Aria's live replies are Off (staff replies).

Fix: An Owner sets the Aria switch in the Inbox header to Autopilot. Runs that already started as tasks keep running as tasks.

How to check: New runs show steps as sent in the journey's Activity tab.

I'm looking for a journey draft to approve

Symptom: You expected to approve a journey message or a new journey version.

Why: Journeys are managed by QualiFlow and send by themselves. There is nothing to approve.

Fix: Nothing to do. If an old "Journey draft waiting for approval" task is still open in My Work, close it.

How to check: The journey's card reads Running.

A task disappeared

Symptom: A "follow-up ready to send" task is gone or shows Draft withdrawn.

Why: It was not used in time, so a stale message is never sent late.

Fix: Contact the customer yourself if the follow-up still matters.

How to check: The customer's row in the journey's Activity tab shows the result.
