Pre-delivery and post-delivery check-in

The delivery journey sends a welcome message 1 day before the planned delivery and checks in 3 days after the handover. A sale recorded late gets the welcome at the next allowed time before delivery.

What it is

Pre-delivery and post-delivery check-in prepares the customer for delivery, then checks in after the handover. Its card counts both parts.

  • Pre-delivery (Welcome): starts when a verified sale has a Planned delivery. The message goes 1 day before the planned delivery: "Congratulations on your new vehicle! We're getting everything ready for your delivery."
  • Post-delivery (Check in): starts when the delivery is recorded as verified, and goes 3 days after the delivery day: "How are you enjoying your new vehicle?"

Late-start rule. If the sale is recorded or verified less than a day before the planned delivery, the 1-day-before moment has already passed. The welcome then goes at the next allowed sending time, as long as that is still before the delivery. If no allowed time is left before the delivery, the welcome is skipped ("every step was already in the past"). A welcome still waiting when the delivery time comes is never sent.

How to use it

  1. Record the agreed sale with Source set to Verified, its evidence, Sale agreement evidence and a Planned delivery date that is still ahead.
  2. Record and verify the sale as soon as it is agreed, so the welcome can go a full day before delivery.
  3. After the handover, record the delivery with Source Verified, Verified delivery evidence and an Actual delivery date.
  4. Leave Follow-up source time empty on the sale unless QualiFlow Support asks for it.
  5. To see each customer, open Journeys, select the Pre-delivery and post-delivery check-in card and read Activity.
  6. If the journey ended because the sale or ownership changed, correct the record and save it. QualiFlow checks the customer again.

What the data means

What the data means
CaseWhen the welcome goes
Sale verified more than a day before delivery1 day before the planned delivery, inside allowed hours
Sale verified less than a day before deliveryThe next allowed time before the delivery
No allowed time left before deliverySkipped: "every step was already in the past"

Example: a sale verified at 7 PM for a 2 PM delivery the next day gets the welcome at 7 PM if that is inside the allowed hours, otherwise at 9 AM the next morning.

Allowed hours, opt-outs and permission are checked for this step like every journey message. The welcome never runs after the delivery is recorded or for a cancelled or reversed sale. The check-in runs only after a verified delivery of a sale that is still agreed. Both parts are service messages.

Possible issues and fixes

The welcome or the check-in never started

Symptom: A customer with a sale or delivery is not in the journey.

Why: The sale or delivery was saved with the default Staff-recorded source, the Planned delivery or Actual delivery date is missing, or the sale was cancelled or reversed.

Fix: Correct the sale or use Edit ownership with a reason and evidence: set Source to Verified and fill in the date. Saving checks the customer again.

How to check: The customer appears in the journey's Activity tab.

The welcome arrived on delivery day

Symptom: The "getting everything ready for your delivery" message came on the day itself.

Why: The sale was recorded or verified less than a day before the delivery, so the welcome went at the first allowed time. Customers who joined before QualiFlow's settings applied can also keep the timing they started with.

Fix: Record and verify sales as soon as they are agreed. If new customers still get it on the day, create a ticket in Support.

How to check: The next sale recorded more than a day ahead shows the welcome 1 day before delivery in the journey's Activity tab.

The welcome was never sent and the reason is "every step was already in the past"

Symptom: The welcome was skipped with that reason.

Why: The sale was recorded or verified so close to delivery that no allowed sending time was left before it.

Fix: Nothing to fix in the journey. A team member can send the message from the Inbox. Record and verify sales as soon as they are agreed.

How to check: The next sale recorded more than a day ahead shows the welcome scheduled 1 day before delivery.

Check-ins plan from the wrong date

Symptom: The check-in is missing or due at an odd time.

Why: An ownership recorded before 16 October 2026 may still carry a Follow-up source time copied from the sale.

Fix: An Owner reviews the ownership with Edit ownership and clears Follow-up source time.

How to check: The customer's run shows the check-in 3 days after the delivery day.
