What it is
Email domain lets your dealership send email from its own address, such as marketing@yourdealership.com, without a mailbox. You prove you own the domain by adding a few DNS records at your domain provider. Optionally, customer replies can come straight into the QualiFlow Inbox.
It is on Settings → Connections, in the Email group. Only the Owner can open it; others see the tile marked Owner only. You need a domain your dealership owns and access to its DNS settings. Whoever manages your website can add the records for you.
How to use it
- Go to Settings → Connections and select the Email domain tile.
- Type your domain only, for example
yourdealership.com(no "www.", no "http://"), and select Add domain. Leave Receive replies in QualiFlow off if the domain already has a mailbox. - Copy each record in the Sending group into your domain provider's DNS settings. Use the Copy buttons, and open How to add these records for your provider's tab (GoDaddy, Namecheap, Cloudflare, Google / Squarespace or Other).
- Come back and select Verify DNS. DNS changes can take a few minutes up to 48 hours. You don't need to keep the page open.
- Under Senders, enter an Address (for example
marketing), check the Display name, choose a Purpose and select Add sender. - When the domain chip says Verified and the sender says Ready, choose the sender in the campaign From picker.
What the data means
| Record group | What it is |
|---|---|
| Sending | Required. Proves the domain may send email. These records decide Verified |
| Receiving | Shown only while Receive replies in QualiFlow is on: one MX record |
| Recommended | Optional DMARC record. Helps inboxes trust your email and never blocks verification |
| Recommended (tracking) | Optional. Puts tracked links on your own domain. Opens and clicks are counted either way |
The tile reads Not connected, DNS pending, DNS check failed or Domain verified. Each record reads Verified, Failed, Checking again, Pending, Not added (no DMARC found) or Not checked yet.
Purpose: Marketing senders send email campaigns, which always carry an unsubscribe link. Service senders send reminders, confirmations, proposals, journey follow-ups and review requests, without an unsubscribe link. Marketing and service does both. A workspace can have up to 5 domains, and each domain up to 20 senders.
Possible issues and fixes
"I added gmail.com and it was refused"
Symptom: "Connect your own domain here, or connect that mailbox under Email instead."
Why: Shared email services such as gmail.com, outlook.com or yahoo.com can't be added as a domain.
Fix: Connect that mailbox on the Gmail or Outlook mail tile instead.
How to check: The mailbox tile reads Connected.
"Another QualiFlow workspace already uses this domain"
Symptom: Add domain is refused with this message.
Why: A domain can belong to only one QualiFlow workspace.
Fix: If the domain is your dealership's, create a ticket in Support to have it released.
How to check: Add domain works and the domain panel appears.
"Email sending isn't set up on this server yet"
Symptom: The page shows this card, and adding a domain is refused.
Why: QualiFlow has not switched on sending from your own domain for your workspace.
Fix: Create a ticket in Support with the category Connections and channels and say you want to send from your own domain.
How to check: The card is gone and Add domain works.
A sender says "Not ready"
Symptom: The sender's badge says Not ready, for example "Waiting for the domain's DNS to verify", or a campaign asks you to choose a From address.
Why: A sender is Ready only when its domain is verified. A Service-only sender can't send campaigns, and a Marketing-only sender can't send service email.
Fix: Verify the domain (see "Why isn't my email domain verifying?"), then pick a Ready sender with the right Purpose.
How to check: The badge reads Ready and the campaign can be approved.
