Check that journeys really message customers

Every journey runs automatically, managed by QualiFlow. A step only reaches a customer when your sending channels, permission and the customer's details are in place. Use this checklist.

What it is

Every journey runs by itself with QualiFlow's settings. There is nothing to switch on or approve. A card reads Running when the journey can send, or Waiting for: a text number or dealership email when your dealership has no sender yet.

A step reaches a customer only when all of this is true:

  • Your dealership has a sender: a text number with an approved business registration, or your own email (a mailbox or a verified domain).
  • The customer has permission for that kind of message on that phone or email, and that phone or email is on their contact only.
  • Aria's live replies are on Autopilot.
  • Pause all sending is off.

How to use it

  1. Open Journeys. Every card should read Running.
  2. If a card reads Waiting for: a text number or dealership email, an Owner connects one in Settings → Connections.
  3. Open Settings → Connections → SMS & calls. Your number's card must not say "Texting starts after your business is approved by US carriers."
  4. Check Aria's setting in the Inbox header. Off means journey steps become tasks for your team instead of messages.
  5. In Settings → Go-live checklist → Safety controls, make sure it does not say Outbound sending is paused.
  6. Select a journey card that should have customers and read Activity. Customers with a next send or a sent result mean it works.
  7. Check My Work for tasks beginning "Follow up yourself:"; each one names what the customer is missing.

What the data means

The Go-live checklist can show Text messages (SMS) as Ready while the business registration is still waiting. Check the registration screen itself.

Calls and incoming texts work as soon as a number is verified. Outgoing texts, journey texts included, go out only after US carriers approve your business registration, usually within a few days and up to 3 weeks.

Tests you run in Aria Lab never appear on the Journeys page. It shows real customers only.

Possible issues and fixes

Journey steps say live replies are off

Symptom: A step says "Aria's live replies are turned off for this workspace" while the switch shows Autopilot.

Why: QualiFlow may have live journeys paused for your workspace.

Fix: Create a ticket in Support and ask QualiFlow to check live journeys for your workspace.

How to check: New steps show as sent in the journey's Activity tab.

Journey messages wait and nothing goes out

Symptom: Steps wait and an alert says all sending is paused.

Why: Pause all sending is on for the workspace.

Fix: An Owner opens Settings → Go-live checklist → Safety controls and selects Resume sending.

How to check: The checklist no longer says Outbound sending is paused, and due steps go out. Steps that passed their time are skipped, never sent late.

A journey is Running but seems to do nothing

Symptom: Nothing happens on a journey that reads Running.

Why: No customer has the record that starts it yet, the record is incomplete, or its steps are becoming tasks.

Fix: Complete the records (see "What each record needs to start a journey"), and look in My Work for "Follow up yourself" tasks.

How to check: Customers show in the journey's Activity tab.
