Fix contact import problems: skipped rows, errors and cancelling

Rows that match an existing contact are skipped, rows with bad data are marked invalid, and an import moves forward only when you process it. Read the row results to see why, fix the rows and import them again.

What it is

After you confirm an import, every row gets an outcome: Created, Skipped, Invalid or Failed. Skipped rows are not errors: they match a contact you already have. Invalid rows had a value QualiFlow couldn't accept, and nothing from them is imported, not even a valid name.

The Row results table lists each row with its CSV row number (row 1 is the header), the Contact, the Outcome and the Details.

How to use it

  1. Open Contacts → Import → Recent imports and open the import.
  2. Read the counts: Created, Skipped, Invalid, Failed and Pending.
  3. Filter Row results by Outcome and read Details. It names the column, then the reason.
  4. Select Download row results to keep a copy with every row and reason.
  5. If only phone formats are wrong and every number is a US number, go back to Map columns, set Default phone country / format to United States and select Update preview.
  6. Otherwise fix the rows in your spreadsheet and import only those rows as a new file.
  7. For a skipped row that matches a contact, update that contact by hand (Contacts, search, Edit contact). For a match in Trash, open Trash, tick the person and select Restore.
  8. If the status is Paused · ready to resume, select Resume import until it reads Completed.
  9. To stop, select Cancel import (nothing created yet) or Cancel remaining rows (some rows done) and confirm. Contacts already created stay.

What the data means

What the data means
Details on the rowWhat it means
Contact createdA new contact was made
Potential identifier match — not mergedThe email or phone already belongs to a contact; skipped
Identifier belongs to a Contact in Trash …The person is in Trash; restore them instead
Duplicate row in this batchThe same person is twice in the file; one row counts
Not imported: this row needs a fixA value was refused; nothing from the row was imported
Processing failed; resume to retryA temporary failure; Resume import tries again

Common fix messages: a phone that isn't valid for its format (US is ten digits; others start with + and the country code; remove extensions); "Enter a name, valid email, or valid phone number."; "Repeated identifiers in one row require review."; a yes/no cell holding something else; a consent_date not written YYYY-MM-DD or in the future; a consent_source over 120 characters.

There is no "Updated" count, because an import never changes existing contacts. An unconfirmed preview expires after 24 hours, and you can have up to 20 imports open at once.

Possible issues and fixes

Some rows say "Not imported: this row needs a fix"

Symptom: The Invalid count is above 0.

Why: A value in the row wasn't valid. Details names the column and the reason. Spreadsheet apps often turn dates into 3/4/2026, which consent_date doesn't accept.

Fix: Correct the file (format date columns as text first) and upload it again. Uploading the same file unchanged reuses the earlier import, so fix the file first.

How to check: The Invalid count in the new preview is 0.

Many rows were skipped

Symptom: The Skipped count is high.

Why: The email or phone already belongs to a contact (import never updates or merges), the person is in Trash, or the same person is twice in the file.

Fix: Select Download row results to see which rows and why. Update existing contacts by hand, restore Trash matches, and leave duplicates in the file as they are.

How to check: Created, skipped and invalid rows add up to the total rows.

The names are missing after the import

Symptom: Imported contacts show no name, only an email or phone.

Why: The file kept first and last names in separate columns, or the name column wasn't mapped. A name is optional when there is an email or phone, so the row still imported.

Fix: Edit each contact: Edit contact, fill in Display name, Save contact. Importing the file again won't fix them, because existing contacts are skipped. Next time put the full name in one column first.

How to check: The contact list shows the names.

The import stopped or won't finish

Symptom: The status stays at Paused · ready to resume, Confirmed · ready to process or Expired.

Why: An import moves forward only when you select Process next rows or Resume import, 25 rows at a time. Closing the page stops it. An unconfirmed preview expires after 24 hours.

Fix: Open the import from Recent imports and select Resume import until it reads Completed. If it is Expired, upload the file again. If it is Partial · review results, fix the failed rows and import only those.

How to check: The status reads Completed and Pending is 0.

"The active import limit has been reached"

Symptom: A new upload is refused with "Complete or cancel existing imports first."

Why: Twenty imports are open at once.

Fix: Open Recent imports, then finish or cancel the imports that are still open.

How to check: The next upload lands on Map columns.
