Guides in this topic
- Give Aria a note for several contactsSelect several contacts and choose Aria note to tell Aria what to do for all of them, such as "Contact them and follow up" or "Call them". Aria plans each contact and shows how many calls she queued, notes she made for the team and contacts she skipped.
- Lists, tags and smart listsLists are groups you manage by hand, tags are labels, and smart lists update themselves from rules. Pick a list from the Lists menu, archive or delete what you no longer use, and use any of them as a campaign audience. None of them gives permission to contact anyone.
- The Contacts listContacts is your dealership's list of customers and prospects. Search and filter it, open a contact's details, and select people for lists, tags, export, Aria campaigns or Trash.
- Set a contact's lead statusLead status shows where a customer is in your sales process, from New to Won or Lost. QualiFlow and Aria move it forward by themselves; Owners can set it on the contact's profile. Smart lists, campaigns and lead score automations can use it.
- Add or edit a contactAdd contact records a new person in two short steps (the basics, then optional more details); Edit contact changes their details, channels, address, language, photo and source note. A contact needs at least a name, an email or a phone. Owners only.
- Import contacts from a CSV or Excel fileBring many contacts in from a spreadsheet. You map the columns and review a full preview before anything is created, then process the rows. An import only adds new people; it never changes a contact you already have. Owners only.
- Fix contact import problems: skipped rows, errors and cancellingRows that match an existing contact are skipped, rows with bad data are marked invalid, and an import moves forward only when you process it. Read the row results to see why, fix the rows and import them again.
- Export contacts to a CSV fileDownload everyone who matches your search and source filter, or exactly the contacts you selected, as a CSV file for a spreadsheet. Owners only.
- The contact details panelSelect a name in Contacts to open a quick view of that person beside the list, with their details, channels, restrictions, internal notes and, for Owners, every conversation with them.
- Give Aria a note on a contactAn Aria note is a plain instruction to Aria about one customer, such as "Text him about the new X5 arrivals tomorrow morning". Aria plans one message, checks channels, permission, opt-outs and sending hours, and follows your approval mode.
- The Activity tab on a contactActivity logs everything about a customer by itself — conversations (open one to read every message), calls with their recording, notes, tasks, visits, sales, journeys and campaigns — with filter chips, a Planned list and a composer to add a note, call, email, text or task without leaving the page.
- Record contact permission and outreach preferencesAn email or phone shows how a customer can be reached, not that you may contact them. The Permission & outreach preferences card on the full profile records who agreed to what, on which channel, with evidence, and the limits Aria must respect. Owners only.
- Merge duplicate contactsWhen the same person is in Contacts twice, an Owner can merge one record into the other. You review every difference first, nothing merges by itself, and Unmerge undoes it.
- When a customer asks to stop being contactedQualiFlow reads every customer message for a request to stop, in English, Spanish or French, and records what was asked to stop and on which channel. Every automatic sender checks it before sending.
- The full contact profileThe full profile shows everything about one person - details, channels, the profiles they wrote from, photo, language, time zone, tags, notes, Aria notes, lead score, permission and dealership activity - in one place.
- Move contacts to Trash, restore them or erase them for goodTrash takes contacts out of active views while keeping their history, and Restore brings them back. To remove contacts for good, an Owner uses Delete permanently or Empty Trash, or Erase contact on the profile. Owners only.
- Add a vehicle interest from inventoryOn a contact's profile, Vehicle interests lets you pick the exact car from your stock (by stock number, year, make or model, with photo and price) or describe what the customer wants. Picked cars stay linked to the real stock record. The contact's appointments show next to it, upcoming first.
- Call a contact from QualiFlowPress Call on a contact. QualiFlow rings your phone first, then connects you to the customer from the dealership number. The call is logged, and recorded when Settings → Calls says so.
